Behind those numbers were more than 20 carefully sequenced imports, each designed to preserve relationships between records—even when the original data lacked the identifiers typically required for a straightforward migration.
The Challenge
The client's customer, sales, and company data existed across Zendesk exports with inconsistent naming conventions and limited value for future reporting. Revenue reporting depended on a manually maintained spreadsheet, reducing visibility and creating ongoing administrative work.
Yet moving data from one platform to another wasn't the real challenge.
Many source records lacked the unique identifiers normally required to migrate and associate Companies, Contacts, Deals, Notes, and activities cleanly. At the same time, those relationships needed to be reorganized to reflect how the business actually sells to and supports customers today.
Without carefully reconstructing those connections, years of customer history could easily have become fragmented, duplicated, difficult to find, or unreliable inside the new CRM.
A Different Approach
Rather than treating the engagement as a software migration, Tangible Words approached it as a CRM modernization project. Every decision balanced two priorities: protecting historical customer data while creating a CRM structure capable of supporting accurate reporting, forecasting, and future growth.
Rebuilding the Foundation
Instead of replicating the existing system, the HubSpot architecture was redesigned to reflect how the business actually operates. Parent companies, child companies, locations, deals, and customer history were brought together into a single CRM structure built to scale.
That foundation began with multiple Zendesk spreadsheets containing overlapping company, contact, deal, note, and supporting record data. Inconsistent naming conventions, limited unique identifiers, and complex parent-child relationships quickly turned what appeared to be a routine migration into a far more demanding data reconstruction effort.
Before the first record entered HubSpot, every spreadsheet was audited, cleansed, standardized, and mapped to the appropriate HubSpot objects. Company structures were rebuilt, naming conventions were normalized, and inconsistencies were resolved so every Company, Contact, Deal, and Note could be migrated—and associated—with confidence.
Reconnecting Years of Customer History
With the data prepared, the migration unfolded in a carefully orchestrated sequence that respected HubSpot's object dependencies. Limited source identifiers required a creative import strategy rather than a simple export-and-import process.
Layer by layer, parent companies, child companies, contacts, deals, and more than 2,000 historical notes were imported into HubSpot. Association Labels and mapped Record IDs rebuilt the relationships between records, preserving years of account history while validating data integrity throughout the migration.
More than 20 sequential imports reconstructed relationships across Companies, Contacts, Deals, and Notes without compromising data integrity.
The result was more than a successful migration. The client gained a trusted CRM that preserved customer history, supported reliable reporting, and established a scalable foundation for future growth.

A new sales pipeline was structured with clearly defined stages, allowing opportunities to move consistently from qualified lead through closed deal. The result was improved pipeline visibility, more consistent opportunity management, and reporting leaders could trust.
